Job Opportunities at the League of Women Voters of Maine and Maine Citizens for Clean Elections

We are seeking applications for the following positions:

DATA & ADMINISTRATIVE COORDINATOR (part-time)

Democracy Maine is seeking a part time Data & Administrative Coordinator to support its education, outreach, and membership programs. This position may evolve over time with the potential for increased hours. The post holder will report to the Operations Director but will work closely with the program and project staff.

About Democracy Maine:
Democracy Maine is a collaboration between two nonpartisan organizations - the League of Women Voters of Maine and Maine Citizens for Clean Elections  - that joined forces in 2018 to strengthen their advocacy and education efforts. As Democracy Maine, we work together and with other partners to make government more equitable, inclusive, and accessible by improving elections, protecting and engaging voters, and reducing the influence of private money in politics. 

Core responsibilities:

  • Manage the systems for volunteer and member intake and coordination, updating and refining as appropriate.
  • Manage volunteer, member, and donor information across the Civi CRM and VAN databases ensuring accuracy of data, and, on occasion, coordinating the work of a team of data input volunteers.
  • Support Neighbor-to-Neighbor and Get Out the Vote projects ensuring accurate records of voter outreach and registration activities.
  • Run weekly and monthly donor and membership reports.
  • Respond to requests for data reports from Civi and VAN.
  • Coordinate the donor receipt and thank you note processes, including semi-annual appeals. 
  • Coordinate the member invoicing and renewal process, including an annual “join again” campaign.
  • Keep accurate inventory of printed materials and provide them to outreach teams as requested.
  • Provide support for programs and events. 

Required Skills: 

  • Experience with a constituent relationship management (CRM) database
  • Ability to design reports and present data in various formats (charts, graphs, etc).
  • Comfort working in a networked, team-based, non-hierarchical environment.
  • Demonstrated time management and planning skills: stays on top of multiple projects without dropping any balls, plans backwards and anticipates obstacles, identifies and involves stakeholders appropriately, uses resources wisely.

The Ideal Candidate will Have:

  • Experience as a volunteer 
  • Experience leading volunteer teams
  • Experience working with people with a broad range of skills and experience, and from diverse or marginalized populations

Compensation and Start Date:

This is a part-time position with compensation based upon experience. The Data Admin Coordinator should be able to start by early to mid-June.
